How we get the personal information and why we have it

 

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To provide you with the service our Customer notified you of and which you activated and registered for
  • to assist the Customer in verifying your identity
  • to assist the Customer in the ongoing administration of the service
  • to allow the Customer to process your payment
  • to enable us and the Customer to comply with our and their legal and regulatory obligations.

We also receive personal information indirectly from the following sources in the event that your child’s school is using one of the below systems. In this case we may obtain data from the third parties below for the same purposes as detailed above.

  • to enable ISS and the Customer to comply the legal and regulatory obligations that apply to us.

How we share this information

We may share your information with the following service providers if you have provided us with your consent to do so via your online application to use the site.

  • Azure, the Cloud hosting provider
  • , Sendgrid, the provider for sending email notifications
  • Provider name, the provider for managing Customer support queries via support desk tickets.

How we store your personal information

Your information is securely stored.

 

We hold your information as long as our Customer requires us to do so for their legal purposes. Our Customers require your information to maintain compliance with applicable legislation usually six years eg finance, allergens. If necessary personal data can be anonymised and data is only ever held as long as necessary.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
